Terms of Service

These Terms of Service ("Terms") govern your use of the GhanaSchool Platform ("the Platform"), a school management system for attendance tracking, fee management, and parent communication. By registering a school or using the Platform, you agree to these Terms.
1. Definitions
"School" means the educational institution registered on the Platform. "Administrator" means the person who registers the school and manages its account. "Staff" means teachers, gate guards, bursars, and other school employees with login access. "Student Data" means names, class assignments, attendance records, fee records, and parent contact details entered by the school. "Platform Operator" means the entity that operates the GhanaSchool Platform.
2. Account Registration
To use the Platform, an authorised representative of the school must register by providing the school name, an administrator name, and a valid email address. The person registering warrants that they have the authority to act on behalf of the school and to enter student and staff data into the system.
You are responsible for maintaining the security of your account credentials. Do not share your password with anyone. If you suspect unauthorised access, change your password immediately and contact the Platform Operator.
3. Acceptable Use
You agree to use the Platform only for legitimate school administration purposes. You will not:
Enter false or misleading student or staff data. Attempt to access another school's data. Use the Platform to send unsolicited messages to parents beyond attendance notifications. Reverse-engineer, decompile, or attempt to extract the source code of the Platform. Resell access to the Platform without written permission from the Platform Operator.
4. Data Ownership
Student data, attendance records, fee records, and all other school-specific content entered into the Platform remains the property of the school. The Platform Operator does not claim ownership of any school data.
The school grants the Platform Operator a limited licence to store, process, and transmit the data solely for the purpose of providing the Platform's services (attendance recording, fee tracking, report generation, and parent notifications).
5. Data Protection
The Platform Operator processes personal data in accordance with the Ghana Data Protection Act, 2012 (Act 843). Each school is the data controller for its own student and staff data. The Platform Operator acts as a data processor on behalf of the school.

6. Subscription Plans
The Platform offers a free basic plan and paid plans with additional features. The Platform Operator reserves the right to change plan pricing and features with 30 days notice to active subscribers. Free plan features may be limited in terms of the number of students, staff accounts, or available reports.
7. Service Availability
The Platform Operator will make reasonable efforts to maintain the service's availability. However, the Platform is provided "as is" without guarantees of uninterrupted service. Scheduled maintenance will be communicated in advance where possible. The Platform's offline scanning feature ensures that attendance recording continues even during internet outages.
8. Limitation of Liability
To the maximum extent permitted by Ghanaian law, the Platform Operator shall not be liable for any indirect, incidental, or consequential damages arising from the use of the Platform, including but not limited to loss of data, loss of revenue, or interruption of school operations. The Platform Operator's total liability shall not exceed the fees paid by the school in the 12 months preceding the claim.
9. Termination
Either party may terminate the relationship at any time. Schools may stop using the Platform and request deletion of their data. The Platform Operator may suspend or terminate a school's access for violation of these Terms, non-payment of fees, or other reasonable cause with written notice.
Upon termination, the school may export its data in CSV format from the Reports page. Data will be retained for 90 days after termination to allow for export, after which it will be permanently deleted.
10. Governing Law
These Terms are governed by the laws of the Republic of Ghana. Any disputes arising from these Terms shall be resolved through arbitration in Accra, Ghana, in accordance with the Alternative Dispute Resolution Act, 2010 (Act 798), before any recourse to the courts.
11. Changes to These Terms
The Platform Operator may update these Terms from time to time. Material changes will be communicated to registered schools via email at least 14 days before they take effect. Continued use of the Platform after the effective date constitutes acceptance of the updated Terms.

These terms are drafted in accordance with the laws of Ghana, including the Data Protection Act, 2012 (Act 843), the Electronic Transactions Act, 2008 (Act 772), and the Alternative Dispute Resolution Act, 2010 (Act 798).
